Digitally Check, Stamp and Approve Plans in the Construction Project

Planning Review with poolarPROJECT

Establish Better Workflows for the Plan Review

Planning reviews, which are mainly based on emails and isolated file storage, cause manual coordination effort for plan versions, release processes and change logs.

The poolarPROJECT planning review digitally maps the entire inspection process in the central project space; plans and inspection instances are summarised in standardised inspection packages. Multi-stage processes enable precise allocation of the test points. The sequence of inspection steps can be set up in parallel or one after the other, depending on the project requirements.

Concept

Digital Planning Review for Construction Projects:
Automated. Transparent. Flexibly Definable.

Automation and
Workflows

automatically generated inspection stamps and transaction numbers reduce manual effort.

A digital workflow and seamless integration in the project space make it easier to coordinate versions and pass them on to project participants for review.

The integrated online editor enables digital plan checking directly in the system.

Audit-proof
Transparency

All inspection steps with comments, sketches and attachments are fully documented and recorded. This supports the fulfilment of legal and quality-related requirements.

All test results are collated digitally. Detailed list views, filter and search functions provide an overview of the current inspection status and plan approvals at all times.

Flexible Integration
and Customisability

Multi-stage test sequences can be set up according to project-specific requirements.

The test runs allow the seamless integration of external, digitally checked files into the inspection process.

Interlinking with other poolarPROJECT areas enables a continuous, consistent flow of information.

Digital Workflow

Fully Integrated Planning Review:
Deadlines, Responsibilities, Comments and Documentation in One System

A clearly structured test run forms the centrepiece of the digital planning review. It specifies which plans are to be reviewed, who is involved in the process and which methodology is to be used. Our team’s many years of experience enable us to define the logic and test run steps individually and precisely – from the initial setup to the ongoing optimisation of the inspection process:

Individual modelling including all inspectors
The type of inspection – single-stage or multi-stage, parallel or sequential – can be flexibly customised and, if required, expanded to include additional inspection instances or specialist planners. Our team will set everything up with ease.

Deadline management
Working days, calendar days and regional characteristics are taken into account to enable realistic processing times.

Colour coding
Each inspector is given their own (stamp) colour so that comments and approvals can be clearly assigned.

In the digital planning review, test plans lay the foundation for all further steps. Relevant documents – such as architectural or TGA plans – are stored centrally and clearly versioned. This means that it is always possible to trace which status has been checked, which changes have been made and who made them.

Central file storage
All plans are managed in a clearly organised structure so that it is always clear which plan status is currently being checked.

Integrated display
The single view in the PDF viewer allows you to set test points and insert sketches or comments directly in the document.

Externally checked file
Files checked with an external programme can also be integrated into the digital test run by adding them as an attachment to a test point.

The digital workflows of poolarPROJECT ensure that relevant information is accessible in a wide variety of forms. On the one hand, the system sends automated emails to the inspectors at the touch of a button. On the other hand, test processes can be summarised at any time in the form of audit-proof PDF logs:

Email dispatch
Emails are generated from the project space, which means that both recipients and message content remain clearly defined and traceable.

Additional audit-proof documentation
All inspection steps and comments can be summarised in a standardised PDF at the touch of a button.

Clear PDF presentation
Basic project data, reviewers, status and approvals are listed in a structured manner in order to present even complex processes transparently on multiple pages.
The final PDF protocols are suitable for internal coordination or external dissemination or separate documentation.

Online Editor

Direct Checking of Plans with Useful Tools

Flexible Test Points with Text, Sketch and Appendix

Colours
Each reviewer is given their own colour so that all comments and approvals can be assigned immediately.

Drawing tools
Simple drawing tools allow you to add markers or notes directly on the plan to visually highlight critical areas.

Attachments
Additional documents or images can be added to each test point so that relevant information is available in a central location.

Automatically Generated Inspection Stamps

Stamp texts
The stamp text can either be standardised or adapted as required for each inspection step.

Stamp colour
The individual colour of the inspector is not only reflected in the respective test points, but also in the inspection stamp itself.

Logging
Once stamps have been set, they are recorded unalterably and thus contribute to a transparent and traceable inspection history.

PDF Difference Viewer for PDF Comparison

Visual support
Differences between two PDF versions are highlighted in colour so that changes are immediately visible. This makes it easier to identify critical points or potential planning errors.

PDF comparison
Two documents can be viewed simultaneously to avoid time-consuming switching back and forth.

Centralised plan and file storage
The viewer directly accesses the plans and versions stored in the project space.

The Planning Review proved to be enormously helpful for us throughout. In our project, we were able to save time because everyone knew exactly who had to check what and when. There was no searching or unnecessary waiting – the step-by-step allocation was automatic. The overview and logging of all inspection steps makes the whole thing complete and requires no further documentation. Jens Esslinger, Project Manager EEW Energy from Waste GmbH

Tasks and Transparency

Coordinate Test Runs More Easily

Save time, reduce communication problems and identify potential delays as early as possible – advanced tools reduce administrative effort and optimise project coordination.

Presentation and Traceability
of Tasks in the Dashboard

Current status at a glance
All tasks derived from the planning review are displayed in real time in the dashboard so that the current processing status is always visible.

Deadlines
Overdue tasks are highlighted in colour to clearly indicate priorities.

Direct links
Links to the respective plans or inspection packages enable direct access to the inspection process and reduce search efforts.

Project coordination
Responsibilities are clearly assigned, which facilitates coordination within the project team.

List View, Filters
and Search

Table view
A tabular display of all inspection packages ensures standardised reporting that provides transparency even for extensive projects.

Sort and filter
Data can be grouped, sorted and filtered according to status, creator, deadline or other criteria in order to find relevant information quickly.

Search
The integrated search function allows you to search through all entries, which speeds up the search.

Direct access
A click on the desired element leads directly to the detailed information, which facilitates the processing of inspection notes and tasks.

Reliable Traceability

Versioning

Plan versions are recognised according to flexibly definable file naming conventions and indexed so that it is possible to trace and compare which version was the most recent.

Seamless Recording

Processes completed by the auditor are recorded with date, processor and change content, so that a transparent and traceable change log is created.

Audit-proof

Logged processes (inspection steps with stamps, annotations, etc.) are logged in an audit-proof manner, i.e. stored unalterably and archived at the same time.
